Responsibilities:

  • Assist the Managing Director with administrative activities, as per required.
  • Courteously answer phone calls and redirect them when necessary and occasionally undertake receptionist duties.
  • Arrange meetings and appointments as per management request.
  • Prepare and disseminate correspondence, memos and forms as per management request.
  • File and update contact information of employees and customers, suppliers and external partners (on management request).
  • Develop and maintain relevant filing systems and assist in procuring and filing of all personnel documents in the Agency’s head office (Maputo).
  • Make travel arrangements, hotel and events bookings.
  • Receive and disseminate documents respective departments from various institutions, and also send internal documents to various destinations as directed.
  • Supervise and coordinate office services department team in line with set standards and procedures.
  • Perform other activities compatible with the role as requested by Superiors.

Qualifications:

  • High school diploma.
  • Tertiary certificate/ diploma in office administration and/ or related discipline is an added advantage.
  • Minimum two years’ proven experience in a similar role and experience in the maritime and/or shipping industry is a plus.
  • Familiarity with office organization and optimization techniques.
