Responsibilities:
- Assist the Managing Director with administrative activities, as per required.
- Courteously answer phone calls and redirect them when necessary and occasionally undertake receptionist duties.
- Arrange meetings and appointments as per management request.
- Prepare and disseminate correspondence, memos and forms as per management request.
- File and update contact information of employees and customers, suppliers and external partners (on management request).
- Develop and maintain relevant filing systems and assist in procuring and filing of all personnel documents in the Agency’s head office (Maputo).
- Make travel arrangements, hotel and events bookings.
- Receive and disseminate documents respective departments from various institutions, and also send internal documents to various destinations as directed.
- Supervise and coordinate office services department team in line with set standards and procedures.
- Perform other activities compatible with the role as requested by Superiors.
Qualifications:
- High school diploma.
- Tertiary certificate/ diploma in office administration and/ or related discipline is an added advantage.
- Minimum two years’ proven experience in a similar role and experience in the maritime and/or shipping industry is a plus.
- Familiarity with office organization and optimization techniques.
